State your time zone and availability

Include dates and time zones rather than just saying “tomorrow morning”. Specify maintenance windows separately from communication hours.

Make each message specific

Identify the page, environment or quote you are discussing. Refer to the relevant record when needed.

Highlight decisions needed

List questions that need a decision separately, so they do not get lost in long logs or conversation.

Distinguish understanding from agreement

Machine translations help understanding. Fees, scope and remote authorization still need explicit confirmation. Clarify ambiguity first.

Keep context for handovers

Record progress, what has been tried and the next step so work can continue in another time zone.
